I am aware that many clients would question why they need a wedding coordinator or event manager and what we do? You may be the most organised person however, things still may need attention on the day and you can’t be in two places at the same time! Co-ordination on the day, doesn’t just include the day, our company are in constant contact with our clients leading up to their special day. Collecting suppliers contact details and instructions, putting together an event planning document with details of 5 minute interval timing sheets, what each company is supplying and when this is being delivered/set up and collected. What is included and what they should be doing to make this day run smoothly. I was co-ordinating a wedding at a private house just the other day and here are a few things that occurred and needed our attention. The blessing was at 3.30pm in the garden and our celebrant was the lovely Karina of  Simply Ceremonies UK so we knew the ceremony would be very well organised. Sadly it wasn’t the bright sunshine weather we had all hoped for, so we opted for the wet weather option in the marquee and had to deal with downpours of rain along with some thunder. On top of this the caterer was nowhere to be seen and we had no ice to chill the drinks. The coordinators resolved this. 20668059_10155722419189363_609120916_n   There wasn’t any fruit for the Pimms arrival drinks – The coordinators resolved this. The waiting staff were not sure what they were supposed to be doing (as the caterer was late). The coordinators checked their planning document and resolved this. Everything needed to be in place for the wedding breakfast. Car parking needed attending to - The coordinators dealt with this. Due to the weather guests needed escorting under umbrellas to the marquee for the ceremony -The coordinators dealt with this. Everything to do with before the ceremony, looking after the bridal party, caterers, photographers, hair and make, deliveries will be taken care of by the coordinators Jars of flowers hung on shepherds hooks decorating the aisle; these were relocated after the ceremony. The coordinators dealt with this. Hay bales that were set up for the ceremony needed moving to more informal seating for drinks reception. The coordinators dealt with this as the weather brighten up with blue skies; we decided to open up the sides of the marquee which connected the marquee to the drinks area. 100’s of candles need to be lit in the barn and place name cards need to be set out -The coordinators dealt with this. 20662454_10155722415694363_1781053983_o Due to having ovens, toilets and other electrical appliances on site the power kept blowing out and we had to locate the fuse box to keep flicking the power on, due to this there were no lights in the mobile toilets and guest were plunged into darkness. This also made the pump stop working in the toilets to flush them.  Therefore (if you could possible think of a comic strip for the next sentence) we had to climb into the back of the toilet trailer, there was a 3ft step up with limited space as it backed onto the barn, I had to grip me hands together to give the other coordinator a hitch up to view the fuse box in the trailer and have some onsite training from the toilet company over the telephone!  The coordinators resolved this while guest were enjoying their meal. amanda Cartoon by  Mark Thatcher We nudged the groomsmen for their speeches and made sure glasses where topped up for toasts. The guests moved to the marquee after their wedding breakfast. – The coordinators made a stunning creative cake table in the marquee to compliment the whole theme. We coordinated and were hands on in the turnaround of the barn, clearing everything and moving furniture to make space for the evening entertainment. Even sweeping floors! We emptied the 100 plus jam jars of candles and replenished these with new candles and spent 20 minutes lighting them again. The DJ and mobile bar needed to be told when to set up and shown where The co-ordinators dealt with this.  If you think you may need help on the day, then don’t hesitate to book a wedding coordinator or event manager, they are worth every penny!   Comments: Hi Amanda Thank you so much for all your hard work on Saturday.
